Sacred Media Bot Privacy Policy

Sacred Pathway LLC (“Sacred Pathway,” “we,” “us”) provides Sacred Media Bot, a private content planning and analytics workspace for authorized business users.

Information we process

We process the email address and internal role used to authenticate and authorize a user. Authorized users may provide brand profiles, prompts, uploaded reference links, draft and approved content, approval notes, social-media performance totals, and automation settings. The service also records security and operational events such as sign-ins, approvals, automation runs, and publishing-job status.

We do not use this information for third-party advertising, cross-company tracking, or sale. The app does not provide public account registration.

How information is used

We use information to authenticate users; enforce role-based permissions; generate, organize, review, export, and schedule content; display analytics; diagnose failures; prevent abuse; and maintain security records.

AI processing

When an authorized user invokes an AI feature, the prompt and relevant brand or content context are sent through our server to OpenAI to generate or evaluate content. Access codes and bearer tokens are not included in AI prompts. Users should not submit sensitive personal information that is unnecessary for content creation. AI output can be inaccurate and must be reviewed before use.

Service providers and integrations

Render hosts the web application, API, and configured data services. OpenAI processes AI requests as described above. Optional social or scheduling integrations process only content an authorized user chooses to export or publish. Network publishing and the Plann provider are currently disabled by default. Configured cloud or object storage may hold user-selected media or file URLs. Providers process information under their own terms and privacy notices.

Device storage and cookies

On iOS, the session bearer token is stored in the device Keychain and is restricted to that device. The embedded web interface stores non-secret email and role preferences locally. In a browser, a bearer token is kept in session storage and is removed when that browser session is cleared; non-secret preferences may remain in local storage. Sacred Media Bot does not use application authentication cookies. Hosting providers may create limited infrastructure logs.

Retention and deletion

Profile information is retained while access remains active. Brand, content, analytics, and operational records are retained until an authorized user deletes them or a verified deletion request is completed. Limited audit or security records may be retained longer where reasonably necessary for security, fraud prevention, dispute resolution, or legal obligations. Backups may persist for a limited recovery cycle before deletion.

To request access, correction, or deletion, email support@sacredpathway.org with the account email and the request type. Use the subject “Sacred Media privacy request” or “Sacred Media deletion request,” as applicable. We will verify the requester before acting. Deleting an account or workspace data may be irreversible and may be limited where retention is legally required.

Reviewer accounts

An Apple reviewer account, when enabled, uses a separate review database containing synthetic data. It has a read-only Viewer role; production publishing, social connections, browser automation, and production secrets are disabled.

Security

We use encrypted transport, signed expiring sessions, server-side role checks, rate limits, secret configuration through environment variables, device Keychain storage on iOS, and audit logging. No method of storage or transmission is completely secure.

Children

Sacred Media Bot is a business tool and is not directed to children under 13.

Changes

We may update this policy to reflect service or legal changes. The effective date above will identify the current version.
